ScaleXP can post your revenue journals at either account level or customer level. Journals are posted by account by default, with one line per account; switch on Journals by customer and each customer gets its own journal line, so you can see and reconcile deferred and accrued revenue customer by customer in your accounting system. The setting applies to both the deferred revenue journal and the accrued revenue journal.
1. Open revenue journal settings
- Go to the Journals tab.
- In the Month-End Close section, click Open on Deferred Revenue Journal under Revenue.
- Click the three dots at the top right of the journal and select Revenue Journal Settings.
For a full tour of every option on this page, see Setup 3: Choose your settings.
2. Turn on journals by customer
- Scroll down to Journal Detail.
- Switch on Journals by customer.
- Click Save.

Your next deferred revenue and accrued revenue journals are proposed with one line per customer. To go back to account-level journals, switch the toggle off and save.
Post either by customer or by account, not both. If you have already posted journals by account for a month, remove those journals in Xero or QuickBooks and sync before posting by customer. ScaleXP doesn't recognize the earlier journals and would otherwise try to reverse them. The same applies if you switch back to account level.
If you also want classes, locations, or tracking codes on each line, add them in the same settings panel — see How to add Xero tracking codes or QuickBooks classes to revenue journals.
3. Review and post your journals
Once Journals by customer is on, Month-End Close adds a by-customer step after each revenue journal, and you post from there.
- Go to the Journals tab and, in Month-End Close, open Deferred Revenue by Customer (under Deferred Revenue Journal) or Accrued Revenue by Customer (after Post Journal in the accrued revenue journal).
- Review the Comprehensive Journal by customer. Each line is one customer's change in deferred or accrued revenue; the totals are the same as posting by account.
- Click Post journal for each month.
For full detail, see Deferred revenue 2: Review and post the journal and Accrued revenue 3: Review and post the journal. If an amount looks different from what you expect, see How the deferred revenue journal calculates the suggested posting amount.
