Accrued revenue 3: Review and post the journal

Review the suggested accrued revenue journal, post it to Xero or QuickBooks, and attach the journal detail.

Review the accrued revenue journal ScaleXP suggests for the month, post it to Xero or QuickBooks, and attach the detail behind it.


1. Open the Accrued Revenue Journal

Open the Post Journal step from the Journals tab or the Continue button. The Accrued Revenue Journal page shows the journal to post for each month displayed, with the detail behind it in numbered sections.

2. Review the system checks

The banner at the top shows how many checks passed and how many need attention. Click View checks to expand them. Typical checks are:

  • Late adjustments awaiting review - a closed month no longer balances because the source data has changed since the journal was posted. This is especially useful after a month-end or year-end close.
  • Manual accrued revenue entries that need review - the same check as on the release page.

3. Choose the sections to show

Use Show / hide sections at the top left to check the sections you want on the page, then Save filters to keep the layout. Section 1 is always shown. Section numbers never change, so a hidden section leaves no gap in cross-references.

The sections are:

  1. The journal to post - the draft journal for each month by account, with a Post draft journal button under each month. Click an account to see the customers behind it.
  2. Comprehensive journal - everything already posted plus the draft above, in one view.
  3. Journals already posted this month - 3a journals posted in the month and 3b adjustments relating to these months posted into later periods.
  4. How the numbers are calculated - invoiced revenue, plus accrued revenue added, less released, plus the deferred revenue adjustment, giving revenue recognized in ScaleXP.
  5. Accrued Revenue Balance Sheet Movements (ScaleXP) - opening balance, plus accrued revenue added in the month, less released, giving the closing balance. The closing balance ties to the blue figures in section 8.
  6. Balance Sheet Reconciliation: ScaleXP v. Xero (or QuickBooks) - 6a accrued revenue as calculated by ScaleXP, 6b accrued revenue as shown in your accounting system, and the Difference. The difference clears when the draft journal is posted; small residual differences arise from day-versus-month rounding and are expected.
  7. Revenue Recognition: ScaleXP v. Xero (or QuickBooks) - 7a revenue as calculated by ScaleXP, 7b revenue as shown in your accounting system, and the difference by account.
  8. Detail by customer - each customer's accrued revenue movement (black) and balance (blue) by month, with a filter to jump to a customer or invoice number.

4. Post the journal

  1. Check the system checks are clear and the Difference in section 6 equals the journal in section 1.
  2. In section 1, click Post draft journal under the month you are closing. ScaleXP writes the journal to your accounting system - in Xero it arrives as a draft journal for you to approve.
  3. After your next sync, the journal moves from section 1 to section 3 and the difference in section 6 clears.

5. Download and attach the journal detail

  1. Click the download icon at the top right and choose Download Journal.
  2. Attach the file to the journal in your accounting system as backup for the posting.
