The Journals tab (top bar) is your month-end close checklist: one place to review invoices and bills for correct revenue and cost recognition, post journals to Xero or QuickBooks, and record your team’s progress and notes as you close each month.
Step 1. Open the journals tab and select your close month
Select the Journals tab from the top bar, then choose your Accounting Close month from the dropdown at the top right.

The page lists each month-end journal ScaleXP automates for you, along with review pages for new invoices and bills.
- Deferred revenue journal — release income invoiced in advance
- Accrued revenue journal — add and release income earned before invoicing
- Prepaid expenses journal — spread costs paid in advance
- Accrued cost journal — recognize costs before the bill arrives
Setting up a journal for the first time? Start with How to set up the deferred revenue journal for revenue, or How to automate prepaid expenses: setting up prepaid expenses in ScaleXP for expenses.
Step 2. Work through revenue and expense journals
Click the box next to a page to open it.

Start with new invoices or bills, then move on to the related journals.
See Getting started with revenue recognition: How to automate revenue recognition and related journals in ScaleXP and How to automate expense recognition journals in ScaleXP for a walkthrough of the full process for each journal type.
Step 3. Track progress with status and comments
The checklist keeps your whole close visible to the team:
- Use the Status column to mark each journal’s progress through the close
- Use the Comments at the right to record notes and who has completed each task

Hint: Click Save each time you write a new note. It will then be available whenever you review the Journals tab for that month.
You’re done — your month-end close is documented
That’s it — your journals are posted, and your status updates and notes are saved against the month, giving you a clear record of who did what for every close.
