This article explains how to keep your renewals schedule current as deals move through your CRM: matching or auto-linking each renewal to its CRM deal, and updating renewal status as deals are won, lost, or closed.

Linking renewals to CRM deals
Best practice is to map every ScaleXP renewal to a deal in your CRM's renewals pipeline. This gives the most accurate automated tracking, since the renewal's status and stage then update automatically as the deal moves in your CRM.
Option A: Auto-link renewals automatically
Recommended for most accounts. Your CRM workflow creates the renewal deal and writes its ID back to the original deal, so ScaleXP can match them without manual work — see How to auto-link renewal deals in ScaleXP for full setup steps.
Option B: Match a renewal to a CRM deal manually
- Go to the Customers tab > Renewals (left sidebar) > Config.
- Find the expected renewal row for the customer.
- Under CRM Deal Name, select the matching deal from your CRM's renewals pipeline.
- Save your changes.
Once matched, the renewal's Status and Stage populate automatically from your CRM and refresh on the daily sync.
How to manage your renewals schedule as deals are lost or closed
Each renewal has a Status field with five options:
- Not Started — the default status until a deal is matched or the status is changed manually.
- In Progress — automatic for matched deals with a probability greater than 0% and less than 100%.
- Complete — automatic when a matched deal is closed won (100% probability). This removes the renewal from Customers tab reporting to avoid double-counting against the new deal.
- Lost — automatic when a matched deal is closed lost. This also removes the renewal from Customers tab reporting to avoid double-counting.
- No Renewal / One-Off — set this manually when no renewal is expected. Excludes the renewal from Customers tab reports.
Updating status manually
- Go to the Customers tab > Renewals (left sidebar) > Config.
- Find the renewal you want to update.
- Click the Status field.
- Select the appropriate status: Not Started, In Progress, Complete, Lost, or No Renewal / One-Off.
You can override the status manually at any time, even if the renewal is matched to a CRM deal — for example, when there is no renewal expected.
Whenever a renewal is marked Complete, ScaleXP prompts you to create the next contract and renewal for the following period, so your schedule always extends forward.
