How to fix an incorrect renewal

Correct the amount, length, start date, or end date on an expected renewal, and understand what can and can't be edited directly

This article explains how to fix an incorrect renewal in ScaleXP — updating the expected amount, length, or dates, and understanding why some contract fields cannot be edited directly.

Why you can't edit some fields directly

ScaleXP treats two things differently, and it's easy to confuse them:

  • The expected renewal (the forecast row for the next contract period) — its Contract Value, Contract Start Date, and Contract End Date are entered directly and are fully editable.
  • The existing contract (the current, active deal) — its Current Contract Value and Contract End Date are calculated automatically from the invoices attached to it, so they cannot be typed over directly. This is why the contract end date field is often not clickable: it updates only when the underlying invoices change.

How to update an expected renewal's amount, dates, or length

  1. Go to the Customers tab > Renewals (left sidebar) > Config.
  2. Find the expected renewal row for the customer.
  3. Under the expected renewal columns, edit Contract Value, Contract Start Date, or Contract End Date as needed.
  4. Save your changes.

For an early or mid-term renewal — for example, terminating the current contract before its natural end date and starting a new one on different terms — enter the correct start date, end date, and value here so ScaleXP recognizes revenue across the right months. Check with your accountant on the revenue recognition treatment for the transition period, since ScaleXP will recognize revenue straight-line across whatever dates and value you enter.

How to fix an existing contract's value or end date

The current contract's Contract Value and Contract End Date are not editable directly — they are calculated from the invoices attached to that contract. To correct them, edit the invoices instead:

The contract start date generally stays fixed once set, but can be adjusted for an individual deal in ScaleXP if required — see the articles above for details.
