How to find missing invoices and stop revenue leakage

Find closed won deals with no invoice, draft or unsent invoices and unbilled renewals, and reconcile every closed won deal each month.

Use the revenue leakage report to find and fix un-invoiced revenue. The page checks your closed won CRM deals, renewals, contract billing schedules and approved accounting invoices against the invoices you have actually issued, and surfaces every un-invoiced or under-invoiced item in one place. It has two tabs: 

  • CRM Deals Closed Won reconciles every deal closed in the period, and 
  • Missing Invoices lists every flagged item from every source. 

Use this page to check for missing invoices each month before you close the books.


1. Open the revenue leakage page

  1. Go to the Customers tab (in a consolidated group, go to the parent entity) and, under CRM in the left sidebar, select Revenue Leakage.
  2. Use the date selector at the top right to choose the month or range to review. On the CRM Deals Closed Won tab this is the Closed Won date; on the Missing Invoices tab it is the Invoice start date.
  3. If you have raised or sent invoices in the last few hours, click Sync now in the summary bar to refresh from your accounting system.

2. Reconcile every closed won deal

The CRM Deals Closed Won tab opens by default. The summary bar shows the number of deals need action, the total uninvoiced value and the number of deals closed won in the period, and always matches the table below it.

  1. Each row shows the accounting customer, the CRM deal (click it to open the deal in your CRM), closed won date, pipeline, deal value, amount invoiced, the variance still to invoice, and an Invoice Status badge.
  2. Read the badge: Invoiced - fully invoiced, hidden from the default view; Partial - some value invoiced, the variance shows the rest; Draft invoice created - a draft exists but has not been approved and sent; No invoice - nothing found.
  3. By default the table shows only deals that Needs action. Use the first dropdown to switch to All deals or Actioned (deals you have postponed or removed). Amounts are in your base currency.

3. Review flagged items from every source

Switch to the Missing Invoices tab to see every item flagged for the period. The summary bar shows items need action, the total uninvoiced value and items flagged.

  1. Check the Reason column: CRM Deal - closed won, no invoice; CRM Renewal - renewal due, no invoice; Contract - billing date passed on a contract schedule; Accounting - invoice approved in Xero or QuickBooks but never sent.
  2. Each row also shows the service period, pipeline, closed won date, invoice issue date and the accounting invoice where one exists, a Status badge (None, Draft or Not sent), the value and the variance.

4. Filter and configure the view

  1. Needs action / All items / Actioned - open items only, everything, or items you have postponed, dismissed or removed.
  2. All sources (Missing Invoices tab) - check Accounting, Contract, CRM Renewal or CRM Deal and click Apply.
  3. Filter by pipeline and All statuses - narrow to specific pipelines or statuses. To add up to two more filters and columns from your CRM, set up deal tags: go to Load Data > Connections, click the three dots on your CRM card, select Configure, and choose the fields under Deal Tags (optional).   4. Search by customer or deal - find a specific customer or deal.
  5. Click Save filters to keep your selection and Configure Columns to choose the columns shown.

5. Take action on each item

Open the Action menu at the end of a row. Its header confirms the deal or customer, the value and the reason flagged; the actions offered depend on the item's source and status.

  1. Issue invoice now / Create invoice - where it takes you depends on the tab:
    • CRM Deals Closed Won: always opens the deal in Salesforce or HubSpot so you can raise the invoice there.
    • Missing Invoices: always opens a new invoice directly in Xero or QuickBooks.
  2. Approve & send invoice - for a draft invoice, opens it on the contract to review and send; for an approved-not-sent invoice, Approve & send or edit invoice opens it in Xero or QuickBooks.
  3. Amend contract - edit the expected invoices if a contract's billing schedule is wrong.
  4. Postpone to [next month] - remove the item from this month; it resurfaces next month.
  5. Remove (CRM Deals Closed Won) or Dismiss (Missing Invoices) - stop flagging the item. Choose a reason (for example Test deal, Duplicate, Customer churned, Invoiced under a different contact) to keep an audit trail. Find and undo these at any time under Actioned.

If an invoice already exists but isn't linked to the deal, link it through ScaleXP Invoicing in Salesforce or HubSpot. If you match invoices to deals manually, link it on the invoice matching page instead. The deal then shows as Invoiced.
