ScaleXP can integrate with your CRM to bring in deal/opportunity data, allowing you to build a comprehensive list of Contracts, Renewals and a Revenue Forecast.

Hubspot provides the most automation for these because we have ScaleXP Invoicing which allows you to issue your QuickBooks or Xero invoices directly from the deal which connects the invoice schedule to a "Contract".

If not using Hubspot, you can still manually match your invoices to the deal to build out a Contract which ScaleXP will use to build a renewals Schedule.

Whether you're using Hubspot, Pipedrive or Salesforce, here are some recommended best practices to integrate with ScaleXP.

  • Separate Pipelines: Having separate Sales and Renewals pipelines will allow you to isolate these in ScaleXP and treat them differently for forecast purposes. If all your deals are in 1 pipeline, your forecast will be consolidated for New Sales and Renewals which means you may double count your renewals in the forecast if you intend to use ScaleXP's renewals schedule.
  • Custom Properties/Fields: We highly recommend creating a Contract Start Date and Contract End Date field on your deals/opportunities and configuring those dates in ScaleXP so that we know the date range over which to spread the revenue. Without dates configured, ScaleXP will forecast the revenue for 1 year starting from the Close Date. The other properties/fields are less critical but will reduce the amount of clicks you need if you're manually managing your contracts in ScaleXP.
  • Automation: If possible, we recommend automating as much as you can using the workflows/processes in your CRM. Things like populating Contract Start Date and Contract End Date fields with logic or creating Renewal Deals from Closed Won deals will reduce the room for manual entry errors and further enhance the automations ScaleXP provides.

  • Use Hubspot: While this may not be possible for everyone, if you're looking to choose a CRM, Hubspot provides the best opportunities for automation and keeping all systems in sync.
