App cards are how you access ScaleXP Invoicing from within HubSpot. They let you create invoices without leaving HubSpot, view invoice information, and open the Revenue Reports add-on. This article explains how to find your app cards, enable the Create Invoices card, customize your deal sidebar, control who can create invoices through team views, and add the Revenue Reports card to company and contact records.
Finding your app cards
The first place to look is on a deal record in HubSpot. App cards are typically displayed in the right-hand sidebar.
If you are using an older version of ScaleXP Invoicing, you may see a legacy card that does not include Create Invoices in the title and shows (0) at the end of the card name. This is the older card, and you should switch to the Create Invoices card described below.
If you cannot see any ScaleXP Invoicing app cards, open HubSpot Settings, go to Connected Apps, and select ScaleXP Invoicing. If ScaleXP Invoicing does not appear under Connected Apps, the app may not be connected to the correct HubSpot portal. Log in to your ScaleXP Invoicing dashboard and confirm that setup has been completed for the correct HubSpot account. Enabling the Create Invoices app card
The card you need is called Create Invoices. To enable it:
- Open HubSpot Settings and go to Connected Apps.
- Select ScaleXP Invoicing.
- Open App Cards.
- Find the Create Invoices card and click Manage Locations.
- Make sure the card is enabled for the deal record right sidebar.
If your HubSpot account uses multiple views, you may need to enable the card for each relevant view. After saving your changes, return to a deal record and refresh the page. The app card should now appear in the sidebar.
Customizing the deal sidebar
We recommend reviewing your HubSpot sidebar configuration to make it easier for users to find ScaleXP Invoicing. As a HubSpot super admin, open a deal record, click Customize at the top right of the screen, and select the view you want to edit.
Many customers remove HubSpot's built-in commerce cards to reduce confusion, including Payment Links, Subscriptions, Payments, Orders, Carts, Credit Memos, and Invoices. You can also move the ScaleXP Invoicing Create Invoices card higher up the sidebar so it is easier to access.
Managing different views and teams
HubSpot lets you create different record views for different teams, for example separate views for sales, finance, and operations. This is useful because users who do not have access to the ScaleXP Invoicing app card cannot create invoices from HubSpot. By controlling which views include the app card, you control who has access to invoice creation.
Using conditional logic
HubSpot allows app cards to be displayed only under certain conditions. For example, you can configure the Create Invoices card to appear only when a deal reaches specific stages, such as Sold or Closed Won. This helps keep your sidebar clean and ensures invoices are only created at the appropriate point in your sales process.
Multiple accounting connections
If you have multiple Xero or QuickBooks connections installed, ScaleXP Invoicing can be configured to display different accounting connections based on deal pipelines or other criteria. If you need this type of setup, contact the ScaleXP Invoicing team for assistance.
Personal sidebar customization
Users can also customize the order of cards within their own sidebar view. Using the menu options available on the sidebar, users can reorder cards and tailor the layout to suit their workflow. Depending on your HubSpot settings, administrators can enable or disable this functionality.
Enabling Revenue Reports
Revenue Reports is available as an additional app card. To enable it, open HubSpot Settings, go to Connected Apps, select ScaleXP Invoicing, open App Cards, locate Revenue Reports, and click Manage Locations. Revenue Reports can be added to company and contact records, giving users access to invoice and revenue information directly within HubSpot.
