How to edit a metric and change the way a metric is calculated (how to change a formula)

ScaleXP provides fully editable automated metrics.  Create your own definitions for metrics and KPIs and then use them in any report, dashboard, or presentation.

 

To view existing metric definitions, go to Settings cog (top bar, right side)>Metrics library (left hand sidebar) and use the search bar (top left) or scroll down to find the metric you wish to change.

Click on the Edit metric button (right side) by the metric you wish to modify.

This will open up a formula editor screen enabling you to change all aspects of the metric definition: the data source, time periods, calculation rules, etc.

Click on an existing data source to change it or, to add a new data point, click on the blank row that says "Click here to add new row or create a formula"

Select a data source from the following:

  • Accounting - accounts from your accounting system; you can select single accounts or Categories, Groups or Subgroups created in ScaleXP
  • ScaleXP - data from elsewhere in ScaleXP such as other Metrics from the Metrics Library, data from reports on the Customers tab, financial categories and groups, manual entry data.
  • a fixed number you input

Once you have added data, make further edits such as

  • move it: drag and drop to move it (dots at far left)
  • change mathematical function (sign at left)
  • change data source: click on the row to further edit/change the data source
    • change data source (first dropdown)
    • change data source detail, such as specific report on the Customer page (second dropdown box, if available)
    • select which entities to include (if relevant - consolidated entities only)
  • To change the time period, click anywhere on the row, then select the cog button.
    • To select a single month, for example the current month, choose Value;
    • To select a longer time period, for example, the total for the past 3 months, select Add then choose the start and end of the time period  (see screenshot below);
    • To select an average over a time range, for example, the average amount over the past 3 months, select Average then choose the start and end of the time period;
    • To select the change in value from one date to another, for example to calculate the increase in active customer numbers, select Change, then the start and end date.
  • add brackets
  • add a fixed number
  • delete something (bin icon)

When done, be sure to Save.

Example:

There are a number of default churn metrics built into the system.  To view these, look for churn in the search bar (top left of the page).  Select the one you want to edit, then click the Edit metric at the right of the name to reveal a formula summary something like this:

To see detail on the data sources and time periods, click on the row.

In the screenshot above, Customer Churn (1 month annualised) is currently measured as: 

that is, Customers Lost or Churned in the current month as per the Default ("global") report on the Customers Page (in this case, the one called "2.MRR"),

divided by

Active Customers, also as per the report "2. MRR", in this case for the time period 1 month ago -- the clock symbol in the initial screen notifies that it is something other than the current month.

all multiplied by 12 to get the annualised result.

To change the source of the customers lost, click on "Lost Customers" and use the dropdown menu to select a different data source (choose from Accounting, Manual Entry Data, CRM, Customer page, etc) or click on "Default (2.MRR)" to select a different report on the Customer tab.  

To change the time period, click on the cog symbol and choose from the menu options provided.

When done, Save.
