How to change definitions of pre-set SaaS metrics and KPIs; what SaaS metrics are recommended

View and adjust the automated definitions for MRR, ARR, CAC, CAC Payback, Cash Burn, Cash Runway, Churn Rates, Retention Rates, Customer Lifetime Value and others by going to the formulas in Settings (top of page)>Metric library (left sidebar).

You can find an alphabetical list of all pre-set SaaS Metrics in Settings (top of page)>Metric library (left sidebar).  Use the search bar at the top to find the metric you wish to edit.

Financial Metrics such as EBITDA, Gross Margin, Total Operating Expenses, Net Assets, Net Debt, Total Assets, and Total Liabilities, which involve more than one Financial Category and/or a formula can be edited in Settings>Metric libraryFinancial Categories, Groups, and Sub Groups can be edited using Reports>Edit Report>Configure.

All changes to ScaleXP metrics, KPIs and financial definitions are automatically available in all Reports and Dashboards throughout ScaleXP.

SaaS Metrics in the Metric Library include:

  • MRR (two definitions).  Read this article for specifics on changing the MRR definition: How to change MRR .  MRR stands for Monthly Recurring Revenue. It is a measure of the predictable revenue that a company can expect to receive on a monthly basis from its subscription-based products or services.  Read our article on MRR here and CMRR here.   Edit MRR in Settings>Metric library or by changing the "global" report definition on the Customers page.
  • ARR (two definitions) Read this article for how to change the  ARR definition: How does the system calculate Annual Recurring Revenue (ARR)? .  ARR stands for Annual Recurring Revenue.  It is a financial metric that represents the expected annual revenue that a company will generate from its recurring (i.e., ongoing or subscription-based) revenue streams.  Edit ARR in Settings>Metric library or by changing the "global" report definition on the Customers page.    Read our article on ARR here

  • CAC Payback (two definitions) The Customer Acquisition Cost (CAC) Payback Period measures how long it takes for a company to recoup the costs of acquiring a new customer. Edit CAC Payback in Settings>Metric library.   Read more about CAC Payback here
  • Customer Lifetime Value, also known as LTV, CLTV (2 definitions).  Customer Lifetime Value is a prediction of the total value that a customer will bring to a business over the course of their relationship with the company.  Edit the Customer Lifetime Value in Settings>Metric libraryRead more about Customer Lifetime Value here.
  • Revenue per Customer  Edit Revenue per Customer in Settings>Metric library.
  • Rule of 40:  The Rule of 40 measures the growth and profitability of a subscription business.  Across companies of all sizes, a result of 40% or more is positive and indicates strong performance.  Read more about the SaaS Rule of 40 here.
  • SaaS Magic Number:  SaaS Magic Number is a measure of growth or sales efficiency which is built from the revenue growth rate and the cost of acquiring new customers.   Read more about the SaaS Magic Number in this article.   ScaleXP automates the SaaS Magic Number using the definition found in the Metric Library.  Edit the SaaS Magic Number in Settings>Metric library.
  • Sales Efficiency (2 definitions)  Sales Efficiency is the amount of new revenue generated during the period divided by the sales and marketing expenditure for that same period.  Edit Sales Efficiency in Settings>Metric libraryRead more about Sales Efficiency here.

SaaS Cash Metrics include:

  • Cash from Sales and Customers Collections  Edit Cash from Sales and Customer Collections in Settings>Metric library.
  • Cash Generated (Burned) (two definitions) Cash Burn is cash used (“burned”) by the company’s operations when the company is not cash generative.  Edit Cash Generated (Burned) in Settings>Metric libraryRead about Cash Burn and Cash Runway here.
  • Cash Runway Cash Runway is the amount of time until Cash Burn uses up all available cash.  Edit Cash Runway in Settings>Metric libraryRead about Cash Burn and Cash Runway here.

  • Customer Churn (2 definitions)   Edit Customer Churn in Settings>Metric libraryRead about Customer or Logo Churn here
  • Customer Growth net of Churn   Edit Customer Growth net of Churn in Settings>Metric library.
  • New Customer Growth  Make changes to New Customer Growth in Settings>Metric library.
  • Customer Retention Rate.  Customer Retention Rate is the percentage of existing customers who remain customers after a given period. Edit Customer Retention Rate in Settings>Metric library.   Read more about Customer Retention Rate here.
  • Gross Revenue Churn (2 definitions)  Make changes to Gross Revenue Growth in Settings>Metric library.  Read more about Revenue Churn here.
  • Net Revenue Churn (2 definitions)  Edit Net Revenue Churn in Settings>Metric library.  Read more about Revenue Churn here.
  • Net Revenue Retention, also known as Net Dollar Retention (NDR) - Net Revenue Retention measures the percentage of revenue that a company retains from its existing customers over a given period of time after the offsetting impact of upsells or expansions.   Edit Net Revenue Retention in Settings>Metric libraryRead more about Revenue Retention metrics here.   • Renewals Retention (2 definitions)  Edit Renewals Retention in Settings>Metric library.  Renewals Retention Rate measures the percentage of customers or subscriptions that are successfully renewed at the end of a specific period. Read more about Renewals Retention Rate here.
  • Revenue Growth Rate (2 definitions) View and edit Revenue Growth Rate in Settings>Metric library. Revenue Growth Rate is the percentage by which a company’s revenue has increased or decreased over a certain period of time, most typically a quarter or a year. Read more about Revenue Growth Rate here.

Other metrics in the Metric library:

Employee Growth % : If you enter employee data into the system, you can graph and report on growth rates automatically.  Edit Employee Growth % in Settings>Metric library.   See this article for how to add employee data into ScaleXP: How can I add a new field for manual entry?  How can I add extra data and/or non financial data to ScaleXP? 

Financial Metrics:

Financial Metrics such as EBITDA, Gross Margin, Total Operating Expenses, Net Assets, Net Debt, Total Assets, and Total Liabilities, which involve more than one Financial Category and/or a formula can be edited in Settings>Metric library.

Financial Categories can be edited using Reports as described in the section below.

You can edit:

Edit these financial definitions in the Metric library to use global definitions that differ from the default ones in the system.

Financial Categories, Groups, and Sub Groups:

Edit the names and definitions of P&L categories by selecting Reports (top of page)> a P&L Report (sidebar at left)>Edit (top right)>Edit Report>Configure base Profit & Loss. 

Examples of financial categories in the default P&L reporting are:

  • Total Revenue,
  • Cost of Sales,
  • Operating Expenses,
  • Depreciation and Amortisation,
  • Non Operating Income,
  • Non Operating Expenses ,
  • InterCompany Revenue,
  • InterCompany Costs.

These P&L Financial Categories can all be edited from any P&L Report using Reports>Edit>Edit Report>Configure base Profit & Loss.  You can also create new P&L Groups and P&L Sub Groups here.

Financial Categories in the default Balance Sheet reporting include:

  • Cash in Bank
  • Accounts Receivable
  • Other Current Assets
  • Fixed Assets
  • Non Current Assets
  • Accounts Payable
  • Other Current Liabilities
  • Debt
  • Non Current Liabilities
  • Inter-company Assets
  • Inter-company Liabilities
  • Retained Earnings
  • Equity

These Balance Sheet Financial Categories can all be edited from any Balance Sheet Report using Reports>Edit>Edit Report>Configure base Balance Sheet.    You can also create new Balance Sheet Groups and Balance Sheet Sub Groups here.
